How to Optimize Your Fax Documents for Best Quality
Ensure your faxes are clear, readable, and professional
Reading Time: 6 minutes | Difficulty: Beginner
Why Fax Quality Matters
Fax technology converts your document into a black-and-white image for transmission over phone lines. This process can degrade quality. Optimizing your document beforehand ensures that the received fax is sharp, legible, and professional, which is essential for contracts, invoices, and other important communications.
Poor Quality
Blurry text, lost details, unprofessional.
Optimized Quality
Clear text, sharp lines, easy to read.
Document Preparation Checklist
Before you even think about sending, prepare your source document with these tips:
1. Use High-Contrast, Simple Fonts
Stick to standard, high-contrast fonts. Black text on a white background is best.
Good Choices
Arial, Helvetica, Times New Roman
Avoid
Light, thin, or highly decorative script fonts
2. Choose an Appropriate Font Size
Text that looks fine on your screen can become illegible when faxed if it's too small. Aim for a font size of at least 12 points.
3. Avoid Complex Images and Backgrounds
Fax transmission is purely black and white. Shading, complex color gradients, and low-contrast images will not transmit well.
- Remove watermarks and colored page backgrounds.
- Convert charts and graphs to high-contrast, black-and-white versions.
- Avoid using photos unless they are high-contrast and not essential for context.
4. Scanning Physical Documents
If you are scanning a physical paper to create a digital file, follow these guidelines:
- Set your scanner to "Black & White" or "Grayscale" mode.
- Choose a resolution of 300 DPI (Dots Per Inch). This is the sweet spot for fax quality. 200 DPI is acceptable, but 300 is better.
- Ensure the scanner glass is clean to avoid smudges and lines.
File Format and Conversion
The Best Format: PDF
For the most reliable and highest-quality results, always convert your document to a PDF before uploading to FreeFax.Pro. PDFs preserve formatting, fonts, and layout, ensuring what you see is what the recipient gets.
Most modern software (Microsoft Word, Google Docs) has a built-in "Save as PDF" or "Export to PDF" option. Use it!
While FreeFax.Pro accepts Word and image files directly, our system must convert them to a faxable format. This automatic conversion may sometimes alter formatting. For full control, convert to PDF yourself first.
